Welcome to the Camarilla Societies Guidelines

Classification

Societies will be divided into Groups and Lists. Both will have very similar requirements, but Groups will have an additional requirement to meet. Both should view themselves, and act, as resources for members.

Liaison Requirements

  • Must have e-mail and steady internet access.
  • Reports once a month to the AANSA Societies and answers other information requests from the AANSA Societies.
  • Provides representational attendance at any meeting called by the AANSA Societies. e-mail or contact before the meeting is acceptable should representation at the meeting be unavailable.
  • Enables communication between Society members and the Communities staff.
  • Helps facilitate conversation and activity between members of the Society.
  • Recommends prestige for their Society members when appropriate.
  • Subscribes members to Society e-mail lists.
  • Ensures that everyone on the e-mail list follows the Code of Conduct.

Requirements for Starting a Society

  • One person to act as Liaison (duties listed above).
  • Five members (including the Liaison).
  • Completed application. See the following section.

  • If you wish to start a Group (rather than a List), please explain the problem you solve or need you meet, the charity you will support, or the events you will provide. (You can find a little more information about this under Group Requirements.)

Note: Groups and Lists may set requirements for admitting members as allowed by the National Services Administrator, but the requirements must not violate the Camarilla’s Constitution or Bylaws. The ANSA Communities must approve group charters setting such requirements; however, the decision to reject a society’s charter may be appealed as per the standard procedures detailed in the Constitution. A Society can be designed for a specific interest or purpose, but "No person will be discriminated against within the organization based on race, age, gender, social class, religious affiliation, national affiliation, sexual orientation or physical condition, or membership in or affiliation with any other class or group protected by applicable law." [Camarilla Constitution, 2.5] If someone joins a Society specifically to be disruptive or otherwise inappropriately behaved, they will be disciplined.

List Requirements

  • Must have an e-mail list for member communication.
  • Must have at least 10 members. If the List dips below 10 for 3 months, it will be dissolved.
  • Must have at least 10 messages a month. If the e-mail list has less than 10 messages for 2 months (and that cannot include posting a Liaison report or the Liaison nudging people to tell her what they want to discuss), it will be dissolved.
  • Liaisons who don’t turn in reports, or don’t turn them in on time, will put their List into a negative color status (see below for more information). If a List goes into the black and remains there the following month, it will be dissolved.

Group Requirements

  • Must have an e-mail list for member communication.

  • Must have at least 10 messages a month. If the e-mail list has less than 10 messages for 2 months (and that cannot include posting a Liaison report or the Liaison nudging people to tell her what they want to discuss), it will be dissolved.
  • Liaisons who don’t turn in reports, or don’t turn them in on time, will put their Group into a negative color status (se below for more information). If a Group goes into the black and remains there the following month, it will be dissolved.
  • Must do one or more of the following. Groups that cease to do so will be dissolved:
    1. Solve a problem or meet a need. Group must be able to clearly articulate what the problem or need is and how they fix or meet it.
    2. Actively support a charity.
    3. Provide multiple events throughout the year.

Sub-Groups and Sub-Lists

Some Societies have a few different and distinct interests within themselves, so they may choose to have Sub-Groups or Sub-Lists. For instance, Cam-Warhammer is a Sub-List of Cam-Gaming. The moderators for Sub-Societies count as Liaison Assistants when Liaisons are reporting prestige in their reports. If a Sub-Society contains members that are unique to it (i.e. they are on the Sub-List or Sub-Group but not o the main List or Group), they may be counted as additional members for the main Group or List. Likewise, the number of messages for Sub-Groups and Sub-Lists count toward the main Group or List total. (Please do *not* count messages sent to both, such as a monthly report, as two distinct messages.)

Color Status

All Societies are considered in the Green until such time as they warrant a change of color status. The progression of colors is Yellow, Orange, Red, and Black. A society that enters into Black status during a given month and remains in that status the following month will be dissolved. The following actions affect the color status of a group:

  • Each late monthly report (any report sent after the first day of the month and before the 15th day of the month) takes the Society down half a color. For example, a Society in the Green which turns in late reports 2 months in a row will be in the Yellow.
  • Each missed monthly report (any report sent on the 15th of the month or later) takes the Society down one color. For example, a Society in the Green which misses one report will be in the Yellow.
  • Each report sent on time (by the first of the month) will move a Society up one color if they are not in the Green. For example, a Society in the Yellow which turns in a report on time will be back in the Green.
  • If the AANSA requests information or actions from Liaisons, failure to respond within the timeline the AANSA gives at time of request will also move a Society further into the negative color status scale. The importance of the information or action requested will determine whether the Society will be moved down half a color or one whole color.

Society Size Classifications

Society sizes shall be defined by the following general guidelines. These can change by decision of the AANSA Societies with input from the ANSA Communities or ANSA Communities Admin.

  • Starting Society: 5 members, including Liaison. Has three months to gain 10 members or it will be dissolved.
  • Small Society: 10 to 30 members, including Liaison. Will most likely not be approved to have Liaison Assistants; however, Society members who assist the Liaison can be awarded prestige on a case-by-case basis.
  • Large Society: 31 to 70 members, including Liaison. Groups of this size may well need to have Liaison Assistants, but it is not a requirement. A Secondary Contact will be required in case of Liaison negligence or non-reporting.
  • Super-size Society: 70+ members, including Liaison. Groups of this size will need to have Liaison Assistants. A Secondary Contact will be required in case of Liaison negligence or non-reporting.

Secondary Contacts should be discussed with the AANSA Societies, as they can take many forms. For example, a Secondary Contact may be as simple as a member of the Community Team’s main structure being part of the e-mail list, or it may be someone who is on the e-mail list and does web-work as an Assistant to the Liaison. Both the Liaison and the Secondary Contact should be list mods with the ability to take over the group completely, should it become necessary.

Societies that need Liaison Assistants may have them. These can consist of a Web Assistant, Newsletter Assistant, List Mod, or PR/Advertising Assistant. Should other types of assistance be necessary, you should discuss it with the AANSA Societies.

Reports

Liaison Assistants must turn in their reports to the Liaison by the 25th of each month.

A report from each Liaison is due on the 1st of each month. Reports received after the 1st are considered late. Reports received after the 15th are considered missed. Reports should follow the appropriate template (given below).

List Liaisons, include the following information in your report. Write N/A (or Not applicable) for information that does not apply:

  • List name.
  • Month and year.
  • Liaison name.
  • Liaison membership number.
  • Liaison e-mail address.
  • Secondary Contact and Liaison Assistant names if applicable.
  • e-mail addresses for above.
  • Number of List members. (Include parenthetical note of those who are on a Sub-List. For instance, if your main List had 7 and your Sub-List had 3 members who were not on your main list, you would note: 10(3) to show your total and the number that come from your Sub-List.)
  • Number of messages for the month. (Include parenthetical note of messages on a Sub-List. For instance, if your main List had 7 and your Sub-List had 3 messages that were not on your main list, you would note: 10(3) to show your total and the number that come from your Sub-List.)
  • List resources.
  • List needs.
  • List requests.
  • Questions or Comments.

Group Liaisons, include the following information in your report. Write N/A (or Not applicable) for information that does not apply:

  • List name.
  • Month and year.
  • Liaison name.
  • Liaison membership number.
  • Liaison e-mail address.
  • Secondary Contact and Liaison Assistant names if applicable.
  • e-mail addresses for above.
  • Number of Group members. (Include parenthetical note of those who are on a Sub-Group. For instance, if your main Group had 7 and your Sub-Group had 3 members who were not on your main list, you would note: 10(3) to show your total and the number that come from your Sub-Group.)
  • Number of messages for the month. (Include parenthetical note of messages on a Sub-Group. For instance, if your main Group had 7 and your Sub-Group had 3 messages that were not on your main list, you would note: 10(3) to show your total and the number that come from your Sub-Group.)
  • A brief synopsis of what the group has done during the month to meet its purpose, support its charity, or provide events.
  • Group resources.
  • Group needs.
  • Group requests.
  • Questions or Comments.

List Prestige Scale

Based on the Camarilla’s prestige guidelines, lists are classified as either on a White Wolf Server or not. Those on WW servers are not overseen by the AANSA Societies, and prestige information may be found in the Membership Handbook on page 23. This is also an option for those whose Lists or Groups are unable to meet the minimum requirements for being a Society (as detailed above). Those who use another list server will be Liaisons and work under the guidance of the AANSA Societies. Prestige for Liaisons will normally be assigned by the AANSA Societies. This scale is based on prestige for non-White Wolf server lists as explained in the Membership Handbook.

  • Total possible for Liaisons: 0-3 N and 0-7 G.
  • Earn 1N and 4G for turning in the monthly report on time and fulfilling basic Liaison duties.
  • Earn additional for busier lists or times when more is asked of them.
  • Total possible for Assistants: 0-3 N and 0-7 G. This is assigned by the Liaison and should only be given in appropriate quantities, in keeping with guidelines as detailed in the Membership Handbook.

Group Prestige Scale

Group Liaisons have the *potential* to earn more prestige, based on the extra work that can come from following through on the extra requirement for groups. Prestige for Liaisons will normally be assigned by the AANSA Societies.

  • Total possible for Liaisons: 0-10 N and 0-10 G.
  • Earn 5N and 5G for turning in the monthly report on time and fulfilling basic Liaison duties.
  • Earn additional for busier lists or times when more is asked of them.
  • Total possible for Assistants: 0-10 N and 0-10 G. This is assigned by the Liaison and should only be given in appropriate quantities, in keeping with guidelines as detailed in the Membership Handbook.

Multiple Offices

No member may perform Liaison duties for more than three societies. This is in keeping with the Membership Handbook rules on holding multiple offices (p.47).

White Wolf Server-Hosted e-mail Lists

Based on the Camarilla’s current prestige guidelines, e-mail lists hosted on White Wolf servers do not fall under the auspices of the AANSA Societies.
